What personal data we collect and why we collect it

Digital network and working methods

The GNMI is a municipal network organization. Our association is working on collaboration for better local accessibility. Our data collection makes it possible that municipalities can have mutual contact, work on projects and that information can be exchanged.
Participation in our working methods and the digital network involves the collection of business data, for which consent is actively requested. The data is stored in our CRM, the provider of which is located within the European Union and access is only possible for authorized employees of the GNMI secretariat. It is also possible to view data and have it deleted. Personal data that is shared via the digital networks can only be viewed with the consent of the user and only within the groups and consultations in which the user participates. It is GNMI’s policy that our participants’ business contact details may only be shared externally with explicit prior consent from those involved. In doing so, the GNMI balances objective, usefulness and necessity against the protection of business data. All message traffic to and from the private digital network is encrypted and stored on a server within the European Union. This also applies to the CRM and our business e-mail and application environment. Processing agreements have been concluded with all providers.

Automated data processing

The GNMI also processes data that is relevant for entering into contracts and processing business data related to payment and performance of contracts. For this, all systems are located within the European Union, processing agreements have been concluded and access is only possible for authorized users.

Contact forms

The GNMI uses mail forms via our website to register meetings and conduct research. These forms contain business contact information (name, job title, organization, email and telephone number), IP address and the browser information. The collected data is only used for the purpose for which it is collected and is only shared externally with the consent of the submitter. Registration for information such as newsletters requires active permission from the sender or permission for the registration is requested. We use a plugin for automatic spam detection. Form data is automatically processed within our CRM environment and the management environment for newsletters and invitations. Users have the right to register or deregister for this.

The user can unsubscribe at any time, with destruction of all data. Collected data from tenderers will not be shared with external parties. The external provider of the newsletter facilities has included the privacy policy in the general terms and conditions. This provider is located within the European Union.

E-mail traffic and data storage

GNMI uses the services of KPN for e-mail traffic and the data storage of the secretariat. This data is stored encrypted on servers within the European Union and is only accessible to employees of the GNMI. For each information flow it is considered who should be given access to data under what conditions. External and / or temporary employees are only given access to commercially required data. Access to data is therefore stipulated on the basis of what is necessary for the proper functioning of the organization. Data relating to payment and personal data is only accessible to designated employees of the GNMI. The GNMI carries out active mail protection based on DKIM, SPF and DMARC. Mail traffic and data processing operations are actively recorded in log files. GNMI uses a plugin that can send mails via the website based on the SMTP protocol. This mail traffic is encrypted via STARTTLS encryption. In addition, some targeted security measures have been taken to prevent the risk of data leaks or security incidents.
